Are you organised, detail-focused, and great at building relationships?

We’re looking for a motivated Facilities Management Services Facilitator with a ‘can-do’ attitude and strong communication, time management and administrative skills, to join our team and help us deliver exceptional facilities services across our sites.

In this role, you’ll be a part of a supportive and collaborative Facilities Management (FM) team and have the opportunity to gain exposure across a wide range of services and projects. You will be responsible for supporting the Facilities Manager with the coordination and administration of contracts and service providers. From scheduling maintenance and monitoring contractor performance, to ensuring compliance and smooth day-to-day operations you’ll play a key part in keeping our workplace safe, efficient, and running at its best.

This role keeps the Institute running smoothly by coordinating contracts, services, and compliance that support our research and clinical environments. By ensuring essential facilities and engineering services are delivered efficiently and safely, you help create the reliable, well‑managed spaces our teams need to drive breakthroughs in heart and diabetes research.

You will become a valued member of our dynamic team at the Institute. Through this key role, you can contribute to our vision to help people to live healthier for longer, and to stop heart disease and diabetes in their tracks.

How you’ll make an impact

  • Coordinate delivery of FM services such as cleaning, security, maintenance, and waste.
  • Administer contracts, track performance, and manage renewals.
  • Liaise with contractors and internal stakeholders to resolve issues quickly.
  • Assist with invoicing, purchase orders, and budget tracking.
  • Monitor KPIs and support continuous improvement initiatives.

What will you bring?

  • Experience in facilities management, contract administration, or service coordination.
  • Strong organisational and problem-solving skills.
  • Confidence working with contractors, suppliers, and multiple stakeholders.
  • Knowledge of FM services and WHS compliance (advantageous).
  • Tech-savvy with good systems and reporting skills.
